
The X4 Consulting Team have been busy working with a wide range of agencies to help uplift their information management maturity and meet legislative requirements. We wanted to share some examples of projects that we are currently working on that highlight some of the interesting and challenging work we get to do for our clients.
Establishing an Information Management Monitoring Framework
One of our current initiatives involves establishing an Information Management (IM) Monitoring Framework. This framework is designed to enhance the oversight of information management responsibilities within outsourced functions and collaborative agreements. The project was driven by an audit recommendation, emphasising the importance of actively monitoring IM responsibilities in various contracts and agreements.
We are working with members of procurement and information management teams to develop a flexible and scalable framework that can be adapted to address different types of information and supplier/providers.
By embedding this framework within the organisation, we aim to ensure that IM responsibilities are clearly stipulated and effectively monitored, thereby increasing maturity and effectiveness in managing information.
Record Transfers for Disestablished Agencies
Another significant project focuses on the transfer of records from a disestablishing organisation to the successor agency.
Our team has been working closely with the involved parties to ensure that all necessary steps are taken to comply with legislative obligations and to facilitate the smooth transfer of records housed in various repositories. We are providing advice and undertaking actions to ensure all of the obligations set out in Section 23 of the Public Records Act are being met.
SharePoint Information Architecture
We are working with multiple agencies to develop or improve their information architecture in SharePoint. This includes developing governance design principles, taxonomies, security and access matrices, migration plans, and learning resources.
